BOOKING PROCEDURES
TERMS and CONDITIONS
Reservation Requests:
1.
Reservation requests may be sent by fax to (808) 922-6951 or emailed to
fitres@sunislandshawaii.com.  To book online, please see “Online Reservation Guide”.
2.
Supply the passenger’s full name(s) and children’s ages if a family plan is desired.
3.
All flight information must accompany requests including airline, flight numbers and
arrival/departure times in Hawaii.
4.
Requests should note name of hotel(s) required, room category, number of rooms and
number of nights.
5.
All other services should be included in your initial request.

Confirmation:
We will respond by fax or email within 24 hours of our receipt of your request.  We will do all
possible to accommodate your requests exactly as requested.  If we are unable to confirm what
was requested, we will offer alternatives.  When an alternate is confirmed to you, you must
immediately advise if it is acceptable.
Cancellations:
For all bookings cancelled within 96 hours (4 days) of arrival, Sun Islands Hawaii will impose a one
(1)-room nights accommodation charge.  Certain vendors charge higher cancellation penalties
during holiday seasons in the form of a guarantee.  Please refer to our “Cancellation Policies” for
Year End and Peak Season.  All cancellation penalties will be subject to those charged by vendors.
Group Programs:
Sun Islands Hawaii has a department specializing in groups, meetings, incentives and conventions. 
All special requests should be sent to their attention by fax or emailed to
groupres@sunislandshawaii.com with as much information as possible.
Multi-lingual:
For multi-lingual assistance for clients, we have special rates based on service and language
required.
Family Plan:
Many hotels in our listing offer a family plan, which allow for children up to a certain age to stay free
with parents utilizing existing beddings.  The maximum ages of children are indicated in each
property listing.  Should additional bedding be required, there will be additional charges that will
vary by property.  Children’s ages must be advised to us at time of booking.
Rates:
All rates in our listing are inclusive of the Hawaii State Taxes, currently 4.72% (Oahu) and 4.17%
(other islands) for the General Excise tax and 7.25% (all islands) for the Transient Accommodations
(room) tax.  All accommodation rates listed are per room, per night, single or double occupancy. 
Listed rates also reflect the maximum occupancy as indicated.  Where available, extra adult rates
are listed accordingly.  Usually, extra adult charges are incurred after occupancy exceeds that of 2
adults in a hotel room or studio, 4 adults in a 1-bedroom unit utilizing existing beddings.  All rates
are current as of the date indicated above of the rates listing and may be subject to change.  Final
rates will be advised at the time of confirmation.
Year End Policies:
A number of properties in our listing have strict year-end policies that require advance reporting,
minimum nights stay, deposits, guarantees and prepayments.  Please refer to our “Cancellation
Policies” for such properties.  Please make your year end bookings early and know that for these
properties, special policies apply.
Special Value Added Programs:
When a property offers a Special Value Program, this is indicated in each property’s rate listing. 
Please be sure to request these specials along with your reservation requests.  Special Value
Added Programs does not apply when your reservation requests fall anytime between blackout
dates.
Payment:
Included in your confirmation will be the entire net price for what we are confirming.  We must be in
receipt of your full payment for all services prior to your clients’ arrival in Hawaii.  All payments are
to be in US dollars, drawn on a US bank.  For payments made within 35 days of arrival, please
make payments by wire transfer in US dollars – contact Sun Islands Hawaii for details.
Credit Terms:
For those who find it impractical to make deposits and prepayments for each booking, a security
deposit or Stand By Irrevocable Letter of Credit on a US bank equal to one months anticipated
business attached to our credit application will establish instant credit.  All billings must then be paid
within 30 days of clients’ travel.
